On-Call Event Specialist

JOB SUMMARY

The On-Call Event Specialist is responsible for overseeing rehearsals and executing day of event operations by directing event set up, communicating with staff, organizing vendors, welcoming guests, and problem solving as concerns arise.

RESPONSIBILITIES

  • Provides excellent customer service to all clients and visitors of the Conservatory.
  • Reviews the Event Details, Floorplans, and Bar Notes, provided by the Events Operations Manager, two weeks prior of the event.
  • Represents the Conservatory as the client liaison the day of the event from start to finish.
  • Facilitates ceremony rehearsal and executes day of wedding ceremony.
  • Coordinates the Event Details the day of the event by overseeing caterers, bartenders, and vendors performance during event set-up and tear-down.
  • Provides accurate information to clients regarding the Conservatory’s rules and regulations.
  • Completes final checks the day of the event (e.g. floorplans, technology) to ensure everything meets standards and client is happy prior to guest arrival.
  • Sets up and tears down décor rented through the Conservatory.
  • Performs other duties as assigned.

KNOWLEDGE AND EXPERIENCE REQUIRED

  • High school diploma or Equivalent and 1-3 years’ relevant experience in hospitality and/or events is required.
  • Knowledge of wedding operations is preferred.
  • Demonstrates knowledge of customer service and sales techniques.
  • Ability to work a flexible schedule with evening, weekend, and holiday availability.

SKILLS REQUIRED AND RESULTS TYPICALLY ACHIEVED

  • Knowledge of basic software programs such as Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
  • Some knowledge of foodservice and bar background is preferred.
  • Expert skills in customer service and interacting with the public.
  • Strong communication skills and ability to clearly present ideas and plans to clients and vendors.
  • Ability to multitask and move about for several hours at a time.
  • Ability to lift, carry, or otherwise move objects weighing up to 25lbs when receiving & storing equipment and event-related items, with or without accommodation.
  • Expert problem solving and crisis management skills.
  • Demonstrates effective written and oral communications skills.
  • Must be detail oriented.
  • Demonstrates the core values and mission of the Conservatory.
